SCLS Interlibrary Loan (ILL) Committee
Minutes of the April 23, 2008 meeting
Present: Amy Bedessem
(POR), Katie Conway (BAR), Rollene Marslander (STP), Pearl Mosier (SUN), Patty Steele (MFD), Heidi Oliversen (SCL), Beth Price (MAD), Cheryl Becker (SCA), Tim Drexler (ZZZ).
Chair: Pearl Mosier was selected as new Chair.
Reports:
- Madison ILL:
- Stats are almost ready and will be posted soon.
- Requesting Obituaries, Newspaper Articles, & Microfilm via ILL Workshop May 22 via OPAL, 9:30- 11AM
- Small change to the WorldCat ILL Request Form. The Format field is now a required field, and is located after the “Multi-Volume” field. (It previously came before the “Multi-Volume" field).
- SCLS:
- Cheryl attended Resources 2.0 workshop.
- She also attended the Midwest ILL Conference.
- The Reference & Loan Spring ILL meeting is coming up May 14th.
- WAPL will be in Stevens Point April 30th-May 2nd. There will be a session about patron initiated WorldCat requests.
- SCLS is checking into ILLiad, an ILL management software, to help manage our ILL operations.
- Delivery:
- Celebration week went well.
- Has new pink routing labels in a PDF format. Fields can be filled in and printed out. The goldenrod routing labels with fill-in fields will also be available in a PDF format. Make sure to print these labels out in the correct color.
- New network master list is online. Changes will be coming.
- Northern Waters Library System is now getting direct delivery.
- Bruce Smith is on the agenda for the state RLL ILL meeting, discussing labeling best practices.
Libraries Doing Their Own Borrowing:
For libraries that don’t do their own borrowing (STP, MFD, MID, BAR), requests go through MAD ILL. Anything MAD ILL requests for all SCLS libraries, is like one patron requesting an item. SCLS has 1 symbol in OCLC for the entire system.
Borrowing from Out of State
- STP doesn’t go outside the state for entertainment videos, audio- fiction, & popular music requested by their patrons. They will request and lend educational video, CD of non popular genre, and non-fiction audio-books.
- MFD loans and borrows everything, but doesn’t always send highly demanded items. They are considering limits for what items they will lend out, the number of items patron can request, and requests for out-of-state items.
- SUN doesn’t lend or borrow some obscure AV materials, but currently pretty much lend and borrow everything. Patrons may be offended if they say no to some things, but at some point may have to. At this time, they do receive most of the AV they request.
- BAR has no limits and gets most of the AV they request.
- POR doesn't limit what patrons can request.
- Right now libraries set their own limits as to what they will request.
- MFD creates a new patron account for each library (outside the system) that requests ILL items from MFD.
- Beth will run the following by Pam:
- Each library can decide what they will and will not do about going out-of-state for requests, as long as they are willing to loan everything.
- Reference librarians should ask patron if they want to go out of state for their requests, at the time of their request.
- Beth will check into adding a drop down box for the WorldCat ILL Request Form for going outside the state for requests, making the "Outside the state Y/N" a required field.
Updates, concerns, etc. from members:
- SUN: LINK ILL numbers keep going up. There will be a reference librarian position open in a short while. Problem with patrons returning SUN ILL items from outside the system, to another library. SUN has no record if item was returned to owning library. Sometimes ILL items are returned without ILL bookmark in the book. Katie will send SUN a sample of the bookstrap they use in BAR.
- BAR: The issue of $150 limit for a patron was taken care from last October. BAR is the process of creating an ILL policy. There is an opening for youth services director.
- POR: Nothing new to report.
- MFD: Busy & working!
- STP: One person short in cataloging. Busy with ILL.
