SCLS Interlibrary Loan (ILL) Committee
Minutes of the October 31, 2007 meeting
Present: Amy Bedessem (POR), Rollene Marslander (STP), Bonnie Price (STP), Nathan Rybarcyzk (BAR, Chair), Pam Wittig (MAD), Heidi Oliversen (SCL), Cheryl Becker (SCA),Tim Drexler (ZZZ).
Reports:
- Madison ILL:
- Stats even with last year at this time.
- Fill rates for lending have gone up—Within Wisconsin = 80%, and Overall = 55%. Probably due to new procedure of marking items “shipped” right away so request doesn’t expire. If an item must be cancelled, the requesting library is called so the request can be re-started.
- On the borrowing side more items were filled by Wisconsin libraries.
- Libraries with questions or problems may call MAD ILL at 1-608-266-6302. If no one is there and immediate help is needed, the Ref. Desk may be contacted at 1-608-266-6350 and they will track someone down. Pam may be e-mailed at pamwit@scls.lib.us
- SCLS:
- Cheryl attended the WILS annual meeting and informed us of some OCLC enhancements coming soon, and also heard about WorldCat Registry, Rapid ILL and Odyssey
- An SCLS ILL workshop with a focus on requesting obituaries and microfilm will be scheduled for 2008.
- Pam, Cheryl, Stef and Beth are going over OCLC statistics trying to understand inconsistencies.
- Cheryl mentioned BookSwim, BooksFree.com, and PaperBack Swap, online services for borrowing books similar to Netflix. Could this be competition for ILL? Could we use this in ILL requesting or suggest it to patrons for items we can not fill?
- Delivery:
- Working on a website re-design with one comprehensive list by title of participating libraries which can be printed out.
- Fields are being created for the pink routing labels so that libraries can type in system and library info. These will then be printable.
- Some problems with MINITEX were mentioned, particularly concerning the return and sending of direct loan materials, and a discrepancy in their delivery list. You should be able to return items to MINITEX via delivery, if their list at http://www.minitex.umn.edu/delivery indicates they have courier service. If not, you must mail them. If they are available via delivery, use the pink routing slip labeled "to MINITEX," and "for MINITEX." Some SCLS libraries are also using a slip that comes with MINITEX items as additional labeling. Cheryl will contact MINITEX concerning their delivery list.
Libraries Doing Their Own Borrowing:
Currently 6 libraries are doing their own OCLC borrowing with Wisconsin Rapids joining soon. Beth Price will be sending an email about this to all libraries in the near future.
Borrowing from Out of State
- Pam stated that mailing costs per item have increased from $1.69 to $2.16 over the past six months. Some out of state libraries are less willing to lend AV. Should we be looking at more restrictions on loaning and borrowing materials, particularly AV materials?
- Any new restrictions would have to be approved by PLAC. SCLS libraries are encouraged to send ideas to Pam via e-mail at pamwit@scls.lib.us
- Other ideas included sending out a questionnaire and contacting other systems to see what they are doing ,encouraging delivery negotiations with Illinois delivery for cross state borrowing and using a 6 month waiting period for requesting new materials.
- Cheryl will talk with Phyllis about this matter, and suggest at the spring Reference and Loan meeting that they talk about what other libraries are doing about postage.
Updates, concerns, etc. from members:

BAR: Nathan will be leaving the ILL position and moving to Circulation, so he will no longer be part of the ILL Committee. He has been having issues with a patron regarding the $150.00 per year borrowing limit. Cheryl will send Nathan some info about how that amount was decided on.

POR: Requests down since summer. Some concerns with patron using another card when ILL borrowing limits are reached. Stricter guidelines were suggested to discourage this. A few concerns with Stevens Point and delivery labeling mix-ups.

MFD: Have been lending items through OCLC since July. This is going well but there are concerns as to mailing costs for out of state requests.

STP: Very busy, stats are up. Lots of lending and borrowing going on.
