SCLS Marketing & Public Relations Advisory Committee
11 a.m. Monday, March 22, 2004
SCLS Administration, Conference Room C

Present: Deb Haeffner, Mark Ibach, Jane Jorgenson, Peggy Kindschi, and Kim Ropson.

1. Review of 2003 SCLS PR & Marketing Advisory Committee Proposed Structure and Charge

No changes were proposed for the Structure & Charge approved in March 2003.

 

2. Summer Library Program Online Materials

Mark Ibach shared PR & Marketing materials created for the 2004 Summer Library Program. They are available at http://psw.scls.lib.wi.us/pr/slp/index.html.

 

3. Creating an online PR Toolkit -- Suggestions

Mark Ibach indicated his desire to eliminate the PR Toolkit 3-ring binder and instead create an online version for member libraries. The following content ideas were generated during this meeting.

Suggested Content Samples

  • Radio and TV PSAs
  • Press releases
  • Calendar of major annual observances (National Library Week, National Library Card Sign-up Month, African-American History Month, Women’s History Month, etc.)
  • Calendar of fun planning observances (Ice Cream Day, Lumpy Rug Day, etc.)
  • Speaker Directories for both adult and children’s topics (contact UW-Speaker’s Bureau, Humanities Dept., UW-Extension, Department of Workforce Development, Chamber of Commerce, Tourism Dept., State Agencies)
  • Periodic press releases to promote various databases

Planning Materials

  • Checklist for Basic Program Planning (what steps should you always include when planning a program/event) This might include when to contact the media and what sorts of items to promote.
  • Photo Tip Sheet for taking good photos
  • Photo Planning Guidelines for planning good photos
  • Event Planning Checklist
  • How to create a library PR/Marketing Plan
  • How to prepare a program fact sheet
  • Suggestions for making the most of your volunteers
  • Suggested locations/events for promoting your library & programs
  • Ideas to help promote Friends groups
  • Newsletter creation/production suggestions to streamline process

Real-Life Samples

  • Press release samples
  • Fact Sheet Samples
  • Brochure and Poster Samples
  • Descriptions of programs other libraries have conducted—what worked, what didn’t, and what would you do differently?

Miscellaneous Resources

  • Job search resources (online and list of individuals who are available for presentations)
  • Create e-mail discussion list for library PR/marketing ideas so staff can share successes and failures and ask others for help when planning an event/product
  • Development of clip art/photography collection (Suggestion to have a photography contest and ask high school students and others to submit photos of patrons using libraries. These would be available for everyone to use in their brochures, newsletters, websites, etc.)

 

4. Creation of Marketing & PR Web Page -- Suggestions for more content

Mark explained that a PR & Marketing Web Page has been added to the SCLS Web site (http://psw.scls.lib.wi.us/pr/). He's seeking suggestions for additional content for the pages.

 

5. Replacement of Patricia Chevis on the PR & Marketing Advisory Committee

Pat explained prior to the meeting that she just doesn't have the time necessary to commit to committee responsibilities. She asked that she be replaced on the committee. The Public Library Advisory Committee will recommend a replacement. Members also suggested that we review committee membership and determine when new people should be rotated on. This will be taken up at the next meeting.
