Reports of action of committees/workgroups

a.     Delivery Committee- Met 2/13/20.  You may view the action items and details in the minutes of the last meeting online.  C. Baumann noted the committee discussed resuming service and the things that need to be determined based on the re-open date.  Several potential changes/challenges include staffing, supplies for staff and containers/bins, varying quarantine times for items, distancing, and route adjustments.  C. Baumann is receiving guidance from the DPI website regarding the timeframe for specific quarantines on different items and creating a list of categories to address.  The delivery managers met and came up with some great ideas.   Let Corey know if you have any questions.  L. Oathout inquired about what libraries should anticipate when they start to open.  What does delivery need from the libraries?  Will they need more staff at certain times?  How can they help with planning and what can patrons expect? Delivery will be ready to resume with everything currently stored in delivery on the first day so everything will go back to the member libraries.  Delivery will go everywhere they are scheduled and pick up as much as they can.  From that day forward, delivery would employ a staggered schedule.  They will need to set up a system where items are marked and staged for quarantine for x amount of days, etc.
400 new bins have been ordered to help accommodate items that need to be held in quarantine.  The cost for the 400 bins is approx. $5,000.
MPL has been experimenting with sorting the holds queue report by item for pick up in library.

b.     ILS Committee – Met 4/1/2020.  You may view the action items and details in the minutes of the last meeting online.

f.         Building Needs Assessment Work Group:  Met 4/02/2020. You may view the action items and details in the minutes of the last meeting online.

Items from clusters for initial discussion:  None

Discussion:
a. Review 2 Resource Library Contracts – take recommendation to May All Directors; AC votes in June along with SCLS board on final contracts approval. SCLS, Madison P.L. or the council had no recommendations for changes.

b. Review Technology Services Agreement – take recommendation to May All Directors; AC votes in June along with SCLS Board on final agreement approval. SCLS or the council had no recommendations for changes.

         M. Van Pelt noted she is meeting every Tuesday with DPI and other System Directors to discuss the restart and recommendations for what to do.  Member libraries have to wait for the Governor’s order to expire in order for libraries to open.  There is no official word but the rumors are saying it will be extended.

Meeting evaluation and Summary:  Everyone enjoyed seeing and hearing from each other.

Next meeting:   May 21, 2020 – All Directors Meeting via Bluejeans.
