SCLS All Directors Meeting Minutes

Welcome:        Martha Van Pelt introduced the new directors Amy Trumble (NGL), and Kristie Nielson Corning (                                 PAR), and provided a review of the voting process.                          

 

Delivery:          Corey Baumann provided a review of the Delivery Cost Formula Work Group and the 2023 Fees. 

The Directors voted 100% approval of the 2023 delivery fees.

2023 Fees & Votes: The Directors voted approval of the following 2023 fees:

Infrastructure: 100%

Network Services: 100%

PC Support: 100%

ILS Services including GetIt: 100%

 

Updates:

            Local Holds Pilot:  A launch of the local holds pilot in libraries occurred June 7th with over 20 libraries participating.  A workgroup has been formed and will be meeting monthly to work through any issues.  T. Drexler is providing data to determine any effects on circulation and filling holds.  The multi-part DVD format was approved previously and a work group has also been formed to work through questions.

Movie licenses – 2 year movie licenses for all libraries starting 12/1/2022 through 11/30/2024.
Outdoor movie bundle includes an outdoor screen, speakers, projector, and cart to carry it.  
Outdoor programming bundles includes a pop-up canopy, table, sound system, and cart.

Holds lockers were acquired via the ARPA hybrid library services grant. The libraries that received them are ACL, BAR, MCF, MOO, MRO, SGR, SUN and MCM. 

RFID tagging (tags & staff stations).  Participating libraries are CIA, DCL, MAR, MTH, NEK, PAR, PDS, RKS, and SKC

External wireless access points: BLV, CSP, STO, WYO

Charging stations: ALB, COL, FCH, MFD, MID, MNT, NGL, NOF, POR, RAN, ROM, VER

Wireless printing: BRD, CBR, STP, PLO 

ECF Chromebooks: (8 libraries, 59 Chromebooks)

Mobile hotspots: DFT, LAV, POY, WAU

Mobile hotspots/data: 12 libraries and 91 hotspots/ data

                       

WPLC Digital Content:            Martha Van Pelt noted DPI is using a LSTA grant to add an additional $100,000 into the statewide OverDrive for content this year. 

The Directors voted approval of the following 2023 fees:
Statewide OverDrive Buying Pool: 100%
Advantage $20,000: 100%

OverDrive Magazines: 99.6%



WiLS Database Services:         Sara Gold, WiLS, provided information about database renewals.  All libraries should have received an email on July 1st from Sara Gold regarding database renewal pricing.  In that email there is a link to the resources available and a quote renewal form for new products.  By August 1st, libraries will want to log into “My WiLS” account and double check that the information is correct as well as selecting your invoicing option (libraries can choose if they want to be invoiced prior to or after January 1).   By September 1st, all the renewal prices will be on the WiLS website.  September 15th is the deadline to request new quotes for new products.  October 15th is the deadline that everyone needs to respond to the renewals and quotes.  It is requested that libraries don’t make any requests for new services between November 15 and February 1st so the SCLS Database team has the time to get things started, cancelled, etc.
The pricing is based on groups and in the past (for example, Consumer Reports) Sara Gold has been able to finagle with pricing if one library drops but if a certain threshold does not renew, it doesn’t guarantee pricing. If that comes about, then an email will be sent asking libraries to log into their accounts. 
Transparent Language will be renewed through WilS instead of WPLC or SCLS.  They will try to keep the price the same, but log into your account to double check.  Kanopy quotes are available for estimates for current subscribers, which will be emailed to libraries 7/22.   A discount for Hoopla may be available and statewide pricing is being investigated.
S. Gold encouraged everyone to go to the WiLS website for cooperative purchasing and discounts for print materials, tape, 3M, etc.  The website is: wplc-info@wils.com

 

Question:        September is late for budgeting purposes.  If a library doesn’t add new resources is it safe to add a 4% increase?  Yes.
An update on WPLC Overdrive:  The steering committee is implementing a “hub” 3 tiered advancement that will help libraries customize messaging through Libby.  Contact J. Anderson to get that process going.  The Lucky Day collection is being used through the Advantage account.  If libraries are interested, please contact S. Gold.  Advantage weeding is live.  If a title is no longer available for purchase, and/or you have a title that you can’t get rid of and holds are no longer being made, the Advantage selectors are being trained to handle it.
