Action Items:

1.      Remove “Pop-up Books” under PERM, add “All Pop-up books” under Books, and add “All non-local video media players” under Videorecordings in the Levels of Cataloging Policy.

2.      Add “Video Media Player: include (video media player) in the title” under Title, including sub-titles, to the Videorecordings BSE (Bibliographic Short Entry) policy. 

3.      Add “GoChip Beam” and “GoChip USB” as Edition examples, and change “disc” to “item” under Title, to the Videorecordings Searching and Matching Policy.

4.      Add the new collection code BDAPJ (BOOK/DIGITAL AUDIO JU).

2.      Approval of previous meeting minutes: September 12, 2018

a.      Changes or corrections: None.

b.      Motion: T. Maes moved approval of the September 2018 minutes.  T. Skov seconded.

c.       Discussion: None.

d.      Vote: motion carried.

3.      Action items

a.      Cataloging of pop-up books – Levels of Cataloging Policy

                                                              i.      Remove Pop-up Books under PERM in the Levels of Cataloging policy.

1.      Motion: T. Maes moved to remove “Pop-up Books” under PERM, to add “All Pop-up books” under Books, and to add “All non-local video media players” under Videorecordings in the Levels of Cataloging Policy.  L. Kranz seconded. 

2.      Discussion:  The Subcommittee decided to add “All Pop-up books” under Books as well as remove “Pop-up Books” from the PERM list. SCLS staff will make the appropriate changes to the Linking Manual, such as adding an edition of [Pop-up book]. The catalogers will also add a 655 genre heading for Pop-up books.  We also decided to approve all changes to the Levels of Cataloging policy at once, including the change for the GoChip devices (video media players).

3.      Vote: motion carried. This will go to ILS Committee for final approval.

b.      Cataloging of video media players (e.g. GoChip devices)

                                                              i.      Add All non-local video media players under Videorecordings in the Levels of Cataloging policy.

1.      Motion: None.

2.      Discussion: This was discussed and approved as part of the Levels of Cataloging policy changes above.

3.      Vote: None.

                                                             ii.      Add Video Media Player: include (video media player) in the title under Title, including sub-titles, to the Videorecordings BSE (Bibliographic Short Entry) policy.

1.      Motion: T. Skov moved to add “Video Media Player: include (video media player) in the title” under Title, including sub-titles, to the Videorecordings BSE (Bibliographic Short Entry) policy. S. Hartman seconded.

2.      Discussion: The term Video Media Player is a generic term being used for this format. GoChip is a brand name. We will also make appropriate changes to the Linking Manual, including adding [GoChip Beam] or [GoChip USB] in the edition field and adding GoChip as an Added Author field, so if users search the term GoChip the records will be found. If there is more than one movie on the device, the individual movie titles would be added in the content fields (505), so they would be searchable.     

3.      Vote: motion carried. This will go to ILS Committee for final approval.

                                                           iii.      Add GoChip Beam, GoChip USB as Edition examples to the Videorecordings Searching and Matching Policy.

1.      Motion:  T. Maes moved to add “GoChip Beam” and “GoChip USB” as Edition examples, and to change “disc” to “item” under Title, to the Videorecordings Searching and Matching Policy.  M. Warren seconded. 

2.      Discussion:  T. Maes suggested changing “disc” to “item” in the Title section of the Searching and Matching Policy to make the policy more applicable to multiple video formats.

3.      Vote: motion carried. This will go to ILS Committee for final approval.

c.       New Collection Code request (from SUN): BDAPJ (BOOK/DIGITAL AUDIO JU)

                                                              i.            Motion: D. Bird moved to add the new collection code BDAPJ (BOOK/DIGITAL AUDIO JU). M. Warren seconded.

                                                             ii.            Discussion: SUN will be purchasing Playawaybookpacks” which are Playaways plus books. They are juvenile items, similar to book/CD and book/cassette kits. SCLS libraries have 60+ of these titles already, so we have enough items to create a separate Collection Code. 

                                                           iii.            Vote: motion carried. This will go to ILS Committee for final approval.

4.      Discussion items

a.      Updates from previous meeting

                                                              i.      New Shelving Location Request: MIM (Made in Monroe)

1.      Discussion: Approved by ILS Committee October 3 and added to Koha October 3.

                                                             ii.      Delete Collection Code and Shelving Location Requests: CAAWL (CASSETTES AD WORLD LANG), GD (Government Documents), LS (Lower Stacks), PLC1F (Popular Library Collection, 1st Floor), RF1F (Reference, 1st Floor), RR (Reading Rainbow)

1.      Discussion: Approved by ILS Committee October 3 and deleted from Koha October 3.

b.      Removed Received ACQ status (Not for loan)

                                                              i.      Discussion: This was an old Acquisitions status migrated from Dynix, but it is no longer used. There are less than 10 items with this status in the system. The committee members felt this status could be deleted from Koha. 

                                                             ii.      Next steps: Amy will contact the libraries with items that have a status of “Received ACQ,” get the remaining items cleaned up and delete the status from Koha.  

c.       Bibliovation updates

                                                              i.      Discussion: We are expecting an update to the Bibliovation sandbox this week with refreshed data. As a result, the sandbox will be down for a few days. 

                                                             ii.      Next steps: ILS staff will begin testing again once the Bibliovation sandbox is restored.
