2.      Approval of previous meeting minutes: September 9, 2020

a.      Motion: L. Kranz moved to approve the September meeting minutes.  M. Warren seconded.

b.      Discussion: none.

a.      Updates from previous meetings

                                                              i.      Policy change to Videorecordings Searching and Matching Policy: Under Edition: Add Criterion Collection to examples. Approved by ILS committee 10/7/20. Policy and Linking Manual updated.

b.      Update on Spanish language subject headings

                                                              i.      Discussion: T. Maes reported MAD is still cataloging Spanish language materials.  They have received some new items ordered for MPL and other items from libraries as well.  Currently, most of the items have Spanish language listed somewhere on the material.  Materiales en Espanol items are being added as genres.  They are working to cleanup some existing records in the database.  Anything libraries should do for the BSE?  MPL staff can usually can tell from title, but if the title is in English libraries could add a 500 note saying it’s in Spanish.  If you provide an ISBN, they usually find a good record in OCLC or will put a hold on the item to view it in hand.  Please report any problems on the Problem Bib form.  T. Maes asked if we needed to update the Linking manual about adding Spanish language to the 500 field.  K. Linke will check to see if there is anything in the current version of the Linking manual.  If there’s something specific that should be changed, please let K. Linke know.     

c.       Feedback on Known Problems – how is this working for you?

                                                              i.      Discussion: A. Gannaway demonstrated the search box.  You can also select broad categories or a status to find items.  One thing we’ve heard about is that there is a lot of stuff to go through.  ILS staff were thinking we could take out the fixed items after a certain period of time so there are less items to sort through.  VER suggested archiving the fixed items and mentioned it is sometimes difficult to know how problems are described.  T. Maes suggested keeping fixed items on the main page for 3-6 months but also likes the idea of archiving them. You can also sort the columns by date added.  T. Maes asked if critical problems in the database and the main page?  Yes.  A. Gannaway will take feedback to ILS team and go from there.

d.      Changes to Videorecordings Searching and Matching Policy: Multi-part items, Television Series, Television mini-series (proposal from MAD)

                                                              i.      Discussion: A. Gannaway displayed the proposal that came from the MAD Collection and TS staff.  The proposal describes the pros and cons of circulating these items together.  Is this something the group would like to look into?  It’s come up over the years and there hasn’t been a lot of support for changing it.  If there is support, the ILS Committee would create a workgroup of library staff to review this.  The workgroup should include both Circulation and TS staff.  Should we pursue this in 2021?  CSS discussed yesterday and asked people to go back to their libraries for feedback.  Libraries are seeing people having a lapse in receiving the discs.  Would we make this change to existing items that were separated?  That’s a question for a workgroup to decide.  Overall, there support for a workgroup.  This will be brought up at the ILS Committee meeting in December and we will see where it goes from there.     

e.      Bibliovation questions and/or discussion

                                                              i.      Discussion: S. Bukrey mentioned they have one computer station where it puts STO items at the top of the list of items.  They would like to set all computer stations to do this.  She is not sure why this is happening.  A. Gannaway said that using the custom url should make it sort with STO items at the top but there have been some problems with this in the past.  S. Bukrey will look into that.
